Request for Proposal : Annual Maintenance of Sanitation & Hygiene Facilities in Bata CSR Supported Schools

Introduction

Bata India Limited, through its flagship Corporate Social Responsibility (CSR) initiative, the Bata

Children’s Program (BCP), focuses on creating sustainable and inclusive social impact by empowering children and communities in its operational geographies. BCP aligns with Bata’s global commitment to sustainability and improving community well-being.

BCP’s projects span across education, health, environment, and sports for development. In FY 2024- 25, BCP projects have impacted thousands of beneficiaries across India, with special attention to underprivileged children and marginalized communities. These projects, implemented in

collaboration with NGO partners, aim to promote equity and access to essential services while contributing to the United Nations Sustainable Development Goals (SDGs).

Through this RFP, Bata India Limited, invites proposal from Service Agencies and NGOs to support sanitation and hygiene infrastructure in currently 18 schools across Gurgaon. To ensure sustained hygiene standards, we invite proposals from experienced facility management agencies for the Annual Maintenance Contract (AMC) of washrooms, water points, and related hygiene facilities in

these schools. Each school has distinct primary and senior divisions (where applicable), and both will require dedicated hygiene staff and cleaning material.

Terms and Conditions

1. The contract period shall be for 8 months, (extendable to next FY based on performance assessment and subject to costing remaining the same) beginning from the date of agreement.
2. Based on Memo No. 19/55-2025 ACD (4), Dated 19/11/2024 issued by Directorate School Education, Govt. of Haryana, the implementing agency will have to take necessary approval from DSE on behalf of Bata India prior to executing the program. (Annexure 3).
3. The implementing agency can expand to 5 more govt schools in the Gurgaon region in the month of Dec 2025 subject to approval from Bata Management.
4. The implementing agency shall ensure timely availability of cleaning supplies and manpower.
5. The implementing agency must conduct a monthly review with the school principal and submit a compliance checklist.
6. Post ascertainment of an invalid cause the agency must replace underperforming or absentee staff within 1 week of reporting .
7. All work should comply with child labour laws/ safety and hygiene norms.
8. Payment will be made on a bi-monthly (every 2 months) basis upon submission of invoice, attendance sheet, and work summary.
9. Non-performance or repeated complaints from school authorities may lead to termination of the contract.
10. Bata India reserves the right to audit the implementation anytime during the contract period.
11. All decisions related to selection and award of contract are final and at the sole discretion of Bata India Limited.
