ABOUT THE PROGRAM

AIF’s Livelihoods program envisions a world where poor and vulnerable communities have access to

dignified work opportunities, empower them with sustainable livelihoods. Since 2006, the Livelihoods Program has directly and indirectly served 2.20 million people from vulnerable communities. Leveraging technology to provide financial and market linkages, knowledge, skills, and dignified work opportunities, the program helps the communities secure jobs, manage enterprises, and make a respectable living. Since its inception in 2006, through its flagship programs Market Aligned Skills Training (MAST) and Ability Based Livelihood Empowerment (ABLE), AIF Livelihoods has provided program support to 825,960 disadvantaged youth, women and Persons with Disabilities (PwDs), and impacted 343,727 livelihoods.

About the Role:

The position will work closely with the Finance Manager for planning, financial monitoring & analysis, compliances and audit and supervise a team of staff members. It will hold functional responsibility over finance, and grants administration.

The role effectively supporting the review and implementation of all financial policies and activities in the program. As a member of the Finance Department. The individual in this position must be able to adapt to a continually evolving environment; demonstrating both, the autonomy and collaboration skills needed to advance AIFT’s purpose and the leadership to inspire confidence of all internal and external stakeholders.

Roles & Responsibilities:

Program resource is expected to perform a wide range of duties including all of the following:

  • Ensure financial management, control, and regulatory compliances by adhering to the organization’s policy.
  • Ensure the monthly review of consolidated organizational budget performance against the individual annual project budgets, forecasting expenses and tracking the ongoing commitments against the approved cash position.
  • Assist in implementing yearly objectives and measurable metrics for Finance department performance both for individual Team members and project team.
  • Support the long-term budgetary planning and costs management in alignment with AIFT strategic and project plans, especially to improve the organizational development, increasing Finance’s contributions to effectiveness and efficiency of the organization by leveraging technology and accurate information.
  • Work collaboratively across the all Functions & Program.

The position will involve need based pan India travel to the project offices.

1.         Financial Planning:

  • To assist in preparing AIFT’s multi-year financial plan, annual operating budget and financial forecasts.
  • Work with the program teams for preparing project budgets and ensure the ratios of direct and indirect costs as per the organization policy.
  • Aligning the financial planning and management practices to comply with statutory, regulatory, donor requirements.

2.         Financial Accounting:

  • Supervise the financial accounting in accordance with AIFT standard procedures and help in communication on all financial issues to various teams.
  • To ensure that all financial transactions are recorded accurately and in time.
  • Carry out controlling and supervision to ensure timely payment of all office operation costs, e.g., rent, electricity, water, telephone, internet bills etc.
  • To regularly scrutinize the ledgers, especially accounts payables, cash balance, all imprest accounts to ensure funds are properly utilized and accounting transactions are being correctly recorded.
  • To liaison with banks for receipts, payments and transfers including investments.
  • Ensuring that all bank accounts are reconciled on a monthly basis.
  • Maintaining and meeting the fund requirements at different location of programs.
  • To closely supervise Accountant / Finance officer daily.

3.         Grant Management & MIS:

  • Monthly and Quarterly review of the organization and program budgets and prepare analytical reports like BvA, burn rate, financial runway and share key highlights to the Program and Functional Leadership respectively.
  • Coordination with Program teams in managing Grants and contracts.
  • Review of Financial reports and documents submitted by partners.
  • Processing of Due diligence for new partners, signing of MOUs, release of tranches and final closure of individual partner grants online.
  • Reconciliation of donor balances.
  • To analyze donor agreements to ascertain usage of funds as per agreement with donor.
  • To track on line donations
  • To provide documents and information for new grant proposals

4.         Project Accounting:

  • Project accounting for AIFT projects implemented through partner NGO, s to ensure timely and accurate booking of project expenses.
  • To track all advances made to projects and individuals and their timely reconciliation upon submission of bills.
  • To coordinate with project staff for any financial queries/clarifications.
  • To prepare donor reports /utilization certificates for donor reporting in co-ordination with program teams.
  • To conduct financial review of selected NGO partners and submit review report.

Qualification and Experience:

  • C.A./ M.com/ MBA in Finance
  • Around 6-10 years of experience in finance and accounting. Experience with a not-for profit would-be a plus.
  • Experience of past working on any ERP software preferred.
  • Working knowledge of excel spreadsheets.

  • Thinks out of the box and has leadership skills.

Reporting: This position will report to the Finance Manager

Other: Monthly fees shall be commensurate with experience.
