About the Organization
Established in 2007, the National Health Systems Resource Centre, a premier Think Tank for MoHFW, is mandated to assist in policy and strategy development in the provision and mobilization of technical assistance to the states and in capacity building for the Ministry of Health.
Job Responsibilities
- Drafting & compilation of letters, notes and mail for activities pertaining to IT Division.
- Maintaining repository of different communications with States and different stakeholder of IT Division.
- Maintenance of document repository for IT Division works related to software development.
- Support in the conduct of the Ministry level activities in IT Context, Workshops, Seminars, Conferences, Trainings etc.
- Facilitating meetings with external partners, managing meeting schedules, and handling appointments.
- Processing work orders, organizing invoices, and managing leave records for division’s staff.
- Preparing & verifying the minutes of meetings (MOM) before submitting them for signature.
- Managing events and related logistics.
- Assisting in the preparation of SOPs (Standard Operating Procedures) and tender documents.
- Managing MIS (Management Information Systems), trackers, databases, and dashboards.
- Managing the calendars and setting up meetings as directed.
- Maintaining both electronic and paper records, ensuring that information is organized and easily accessible.
- Handling and prioritizing all incoming and outgoing correspondence (emails, letters, packages, etc.)
- Prioritizing agenda items and assisting in the planning of appointments, board meetings, conferences, etc.
- Assisting in the preparation of presentations or reports as required.
- Facilitating travel arrangements for the division.
- Any other responsibility as allocated by Advisor- IT
Education Qualification/Required Skills & Experience
For achieving above-mentioned deliverables, the applicant is expected to possess following qualifications & experience –
Desirable
- Excellent knowledge of Computers preferably a Computer Certification course on Office working.
- Preference will be given to candidate having experience in Government, Quasi Government departments or Government funded autonomous institutions.
- Diploma / Degree /Certificates in secretarial practices is desirable.
Essential Graduate Degree (Regular Courses) in any of the following
- B.A.
- B.Com
- B.Sc.
- BCA
- BBA
Minimum 3 years of post-qualification experience as an office secretary / Personal Assistant / Administrative Assistant or related field.
Skills:
- Good typing speed (35 wpm).
- Excellent administrative, organizational and planning skills with attention to detail.
- Computer literate with knowledge and proficiency in MS office, Excel and Power point.
- Should have some working knowledge of Accounts.
- Knowledge of Filing, Indexing, and Document Management.
- Excellent writing and verbal communication skills
- Proficient in drafting notes and letters in English with focus on spelling, punctuation, grammar and other language skills
