Key Tender Information:

When submitting the bid document, bidder needs to submit this entire document duly signed with office seal of bidder. If signature & stamp is found missing, the bidder shall write/email to Plan about the same and request for its acceptance.

Terms & Conditions:

• The Bidder shall submit the Bid in the Prescribed Format shared above. All columns in the form should be duly filled, signed and stamped. The documents like instructions, general terms and conditions which have been attached in this format must be submitted.
• Bidder will ensure to provide all the products of “Made in India”. Hence, in this regard bidder must submit an affidavit with the Bid stating that all items quoted by it are only ‘Made in India’ and are not of foreign origin.
• It shall remain Bidders responsibility to ensure that your proposal reaches us before the deadline. Proposals received after the submission deadline for whatever the reason maybe, shall not be considered for evaluation and shall stands rejected.
• Any delay in Plan India’s response shall be not be used as a reason for extending the deadline for submission, unless PLAN INDIA determines that such an extension is necessary and communicates a new deadline to the proposers.
• Bank Guarantee: Successful bidder will be required to provide a Bank Guarantee equal to 25% of the order price in favor of Plan India towards Performance Guarantee.
• The bidders required to furnish the last month GST return certificate and Income Tax Clearance Certificate from the appropriate authorities along with application format failing which the application shall be rejected.

Other conditions regarding price, delivery, quality, payment and other items governing the supply:

Packing, Branding Transportation of Kits: The entire kits are to be packed into two PVC gunny bags (Hygiene kits and Dry Ration kits are to be packed in separate bags) before being transported to the distribution point. Donor & Partner logo with title of the project to be printed on the relief Kit. Vendor has to exercise proper care to ensure no item is broken or damaged during transportation/ loading/ unloading.

• Transportation and Delivery schedule of Kits: Plan India will provide the selected bidder “Distribution Time table” in advance. Kits will be transported directly to locations as mentioned above in Tender Information Sheet. Representative of the bidder should be present at each distribution day.
• Due to risk of infection, vendor is required to take all precautions during packing of the kits and engage only healthy persons to do the same. Proper sanitization measures to be ensured by vendor and social distance to be followed during packing and delivery of Kits to us. No person who has any symptoms of fever, cough, etc. should be engaged in packing and delivery work.
• The bidder must provide details of its warehouse or premises in Delhi where the packing of the Kits will be done. As per the list of items in the Kits, Bidder must have adequate space at Delhi where Kits will be packed and can be randomly verified by Plan India representative during packing process.
• The price shall be quoted on the basis of specifications provided in the financial bid document. No compromise permissible in the material specification with company brand name and specifications mentioned in the financial document.
• Where Brand name is not mentioned in Financial Bid Document, bidder has to mention the brand for which price is being quoted in the Bid document.
• The bidder shall ensure quality of kits as per sample and order/agreement. Bidder will clearly mention its guarantee/warranty for the Kits on the bid document. In case of any complaint or defect etc. arising during distribution of the Kits, the bidder undertakes to replace the Kits without any additional cost within 3-4 days.
• Payment Terms: To be mentioned by the Bidder.
• Testimonials: Bidder should enclose recent testimonials such as copy of orders executed for similar NFI or other kits supplied to any Govt. dept./agency or any reputed NGO or UN org. (relating to last 12-month period only).
• Reference Check: Bidder should provide name and contact details (Designation, Email and Phone no.) of two references who may be senior govt. official or senior executive of UN org. or reputed NGOs.
