RFP Invited for Hygiene Kits

About the Organization:

A grassroots foundation, deeply focused on challenges faced by marginalized communities and in particular of women in the bottom 100,000 villages of India. We bring a deep knowledge and an inventory of working solutions for stranded India and mechanisms for scaling-up those solutions

Key Tender Information:

When submitting the bid document, bidder needs to submit the entire tender document duly signed with office seal of bidder at the following address: Transform Rural India Foundation located at C-1,Alkapuri, Habib Ganj, Bhopal, Madhya Pradesh 462016 or E-mail the same at triftender@gmail.com . If signature & stamp is found missing, the bidder shall write/email to TRIF about the same and request for its acceptance.

Specific Terms & Conditions:

The Bidder shall submit the Bid in the Prescribed Format shared in the attachment. All columns in the form should be duly filled, signed and stamped. The documents like instructions, general terms and conditions which have been attached in this format must be submitted

It shall remain Bidders responsibility to ensure that your proposal reaches us before the deadline. Proposals received after the submission deadline for whatever the reason maybe, shall not be considered for evaluation and shall stands rejected. 

Any delay in TRIF’s response shall be not be used as a reason for extending the deadline for submission, unless TRIF determines that such an extension is necessary and communicates a new deadline to the proposers.

The bidders required to furnish all the documents specified in the RFP attachment along with application format failing which the application shall be rejected

2.     Packing, Branding Transportation of Kits:

• Vendor must exercise proper care to ensure no item is broken or damaged during transportation/ loading/ unloading.
• All the items forming part of the kit must be packed in the quantities are specified in the above table.
• Each item in the kit must be packed individually if retail packing is unavailable (specially in case of non-branded items).
• Each kit must be packed in appropriately sized corrugated boxes & sealed with adhesive tapes. All kits must be then wrapped with air bubble wrapping sheet to avoid any damage, spoilage or breakage during transit.
• No kits will be accepted if they are without proper packing or are opened or spoiled in any manner rendering it unusable for its intended use.

3.     Transportation and Delivery schedule of Kits:

TRIF will provide the selected bidder “Distribution Time table” in advance. Kits will be transported directly to locations as mentioned above in Tender Information Sheet. Representative of the bidder should be present at each location.

4.     Due to risk of infection, vendor is required to take all precautions during the process of supply of the kits and engage only healthy persons to do the same. Proper sanitization measures to be ensured by vendor and social distance to be followed during delivery of Kits to us. No person who has any symptoms of fever, cough, etc. should be engaged in packing and delivery work.

5.     Sample Submission:

The supply shall be initiated only after getting a written confirmation regarding the acceptance of the sample from Neha Gupta, Chairperson, Tender Committee, Transform Rural India Foundation, Bhopal.

TRIF also reserves right to draw samples from the supplied quantity and will be sent to approved third party agencies to check the quality of the product. lf the samples fail, then the products supplied will be rejected and full rejected quantity must be replaced immediately / in case if any payment made for the failed quantity that amount shall be refunded to TRIF immediately.

• The price shall be quoted on the basis of specifications provided in the financial bid document. No compromise permissible in the material specification with company brand name and specifications mentioned in the financial document. 
• Where Brand name is not mentioned in Financial Bid Document, bidder has to mention the brand for which price is being quoted in the Bid document. 
• The bidder shall ensure quality of kits as per sample and order/agreement. 
• Bidder will clearly mention its expiry date for the Kits on the bid document. In case of any complaint or defect etc. arising during distribution of the Kits, the bidder undertakes to replace the Kits without any additional cost within 3-4 days.
