Project Background
Organisation background: Room to Read India was established in 2003 and presently has programs in eleven states – Andhra Pradesh, Chhattisgarh, Delhi NCR, Jharkhand, Karnataka, Madhya Pradesh, Maharashtra, Rajasthan, Telangana, Uttarakhand, and Uttar Pradesh.
Room to Read is a global organization transforming the lives of millions of children in low-income communities by focusing on literacy and gender equality in education. Role of Room to Read India:
Room to Read India will oversee the selection of locations and interviews. We will provide guidance on content and processes developed by the production agency. Additionally, Room to Read India will advise on operational aspects of video scripting, shooting, and production, including scope and scale.
Project Overview:
Room Read is a dedicated non-profit organization, deeply committed to advancing Foundational Literacy and girls’ education in India through our transformative SERI (Scaling up Early Reading Intervention) project. As part of our ongoing mission of creating a positive influence in the lives of children, we are seeking a competent agency to join hands with us in bringing inspiring Human-Interest Stories to light. This entails documenting project stories, producing engaging videos, and capturing essential data for strategic communications.
Project Details
1. Project Duration: 9 Months (January to September 2024)
2. Scope of Work:
The scope of work for this project is not only significant but also multifaceted.
The agency hired will play a pivotal role in each of the following components:
a. Story Documentation:
The agency will have the distinct responsibility of documenting 18 compelling project-related stories in 9 months. These stories will be evenly distributed, as 1 story per quarter, within 6 SERI-states of Chhattisgarh, Madhya Pradesh, Rajasthan, Telangana, Uttarakhand, and Uttar Pradesh.
- This documentation process is not just about words. It requires seamless coordination with state focal points, in-depth research on the selected stories, and sourcing high-quality images to visually narrate each story.
- The agency will craft the narrative and structure of these stories, ensuring they adhere to Room to Read's quality standards and brand guidelines. Drafts will be submitted for feedback and approval to Room to Read, and the agency should be prepared for any necessary revisions before finalization.
b. Video Production:
- In an age where visuals carry immense storytelling power, the agency's role in video production is nothing short of vital. The agency will be tasked with producing 18 short bite-sized videos, each a unique piece of art.
- These videos will be created at a rate of 1 video per quarter per state, amounting to 6 videos per quarter and 18 videos over the contract duration.
- They must artfully capture the diversity of stakeholders involved (including children, teachers, government officials, parents etc.), a wide range of project activities, innovative approaches, and various aspects that paint a unique, comprehensive picture of the project.
- While the precise duration of these videos should be specified in the proposal, they are expected to be concise, ensuring they effectively communicate the essence of each message.
c. Beyond storytelling, the agency onboard would be expected to produce qualitative and quantitative data points as requested by Room to Read as per need. This collected information will be instrumental in creating persuasive strategic communication materials, including brochures, reports, infographics, and other forms of collateral.
3.Deliverables:
- 18 meticulously documented project stories, with 6 delivered each quarter, covering the designated states, highlighting the positive effect on the lives of the program participants, their families and communities.
- 18 engaging short bite-sized videos, distributed at a rate of 6 per quarter, providing a visual journey through the project's diversity and innovation.
- A comprehensive dataset of key data points and information crucial for constructing compelling strategic communication materials as and when needed.
4.Project implementation terms:
- The project will unfold over 9 months. A detailed project schedule, encompassing deadlines for each component, will be collaboratively established upon the agency's selection.
- The agency should commence work immediately upon signing the contract.
- A detailed work plan, shooting blueprint, rough script, and timeline should be submitted promptly. This should include the shooting schedule before filming.
- The shoot will take place in all six key Room to Read India (SERI) intervention states.
5.Payment milestones:
Payment terms are as follows:
- 15% payment upon signing the contract and submission of inception report.
- 25% after completion of deliverable for the first quarter
- 25% after completion of deliverable for the second quarter
- 25% after completion of deliverable for the third quarter
- 10% as full and final settlement after completion of quality check of all the deliverables
6.Selection process:
- The selection will be based on quality and cost basis 80:20 (quality: cost)
- Formula for calculation of overall bid score: 80% of technical bid + 20% of the financial bid
- The final round of selection will involve discussion with the proposed team.

Submission of Proposals
To be considered for this pivotal role, interested agencies are invited to submit their proposals, including a comprehensive scope of work, a detailed budget, and a portfolio with relevant examples of prior work. Submissions should reach Room Read no later than Dec 5th, 2023.
Room Read reserves the right to evaluate all proposals meticulously and retain the option to accept or reject them in pursuit of selecting the agency that aligns most effectively with our mission and requirements.
