About the Organization

WASSAN (Watershed Support Services and Activities Network), Hyderabad since 1999. WASSAN is a network-based organisation focusing on improving the quality of mainstream programs in natural resources management and livelihoods. It engages actively in policy advocacy initiatives at state and national level mainly related to rainfed agriculture. It also provides field level support services to a large number of watershed development and other programs implemented by the civil society in partnership with communities. Currently, WASSAN has around 300 employees spread in Andhra Pradesh, Telangana, Odisha and Jharkhand.

Job Description

We are looking for a dedicated and organized Project Support Coordinator to join our team. The Project Support Coordinator will play a key role in facilitating effective communication, coordination, and administrative tasks across various project teams. This role requires attention to detail, strong organizational skills, and the ability to provide support to ensure the successful completion of projects.

Job Responsibilities

Coordination and Communication: 

  • Coordinate with project teams to ensure timely submission of bills, invoices, and expenses.
  • Facilitate communication between teams and the accounts department for bill verification, submission, and follow-up.
  • Assist in organizing and coordinating team events, including managing advance requests.

Documentation and Records:

  • Maintain a comprehensive register of project-related information, bills, and expenses.
  • Organize and manage project files, ensuring accessibility and proper documentation.
  • Keeping records of Project Implementation, project assets management

Task Management:

  • Collaborate with project teams to complete assigned tasks within specified timelines.
  • Provide support to teams in various project-related tasks as needed.

Support and Assistance:

  • Extend assistance to project teams to ensure smooth project execution.
  • Offer clarification and guidance to teams regarding project-related queries.

Accounts and Finance Liaison:

  • Coordinate with the accounts team, ensuring seamless communication and prompt follow-up.
  • Provide necessary information to the accounts team for accurate billing and financial records.

Project Completion:

  • Ensure completion of tasks assigned to the Project Support Team (PST).
  • Assist in tracking and reporting project progress to relevant stakeholders.

Email Communication:

  • Regularly monitor and respond to project-related emails in a timely manner.
  • Communicate updates and information to teams as required.

Data and Information Management:

  • Follow up with teams to gather required data, information, vendor details, and other project-related inputs.
  • Maintain accuracy and integrity of data collected.

Administrative Duties:

  • Manage travel arrangements for project teams, including booking accommodation and transportation.
  • Oversee reception and stationary management to ensure a well-organized work environment.

Library Management:

  • Maintain and organize project-related resources and materials in the library.
  • Assist teams in accessing required information from the library resources.

Education Qualification/Required Skills & Experience

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 1-3 years of experience in project coordination, administration, or related roles.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office Suite, Excel and email communication.

Desired Candidate Profile:

  • Strong organizational skills with an eye for detail.
  • Ability to work collaboratively in a team and support diverse projects.
  • Proactive attitude with the ability to take initiative and prioritize tasks.
  • Adaptability to evolving project needs and changing priorities.
  • Professionalism in handling confidential information.
  • Familiarity with MS Office Suite, Google Workspace, project management tools/software is a plus.
