Job Description

PATH is currently recruiting for a Project Associate to manage the logistics and staff support.

Job Responsibilities

  • Establish and maintain systems related to finance, procurement of good and services, human resource (HR) and administrative functions e.g. IT, and routine operations including travel and travel expense reporting under the Project.
  • Ensure that all sub-contracts issued to vendors for procurement of administrative goods/services follow organization’s procurement and contractual standards and guidelines.
  • Manage local vendors and suppliers to ensure timely and smooth procurement of all supplies.
  • Coordinate logistics for all key meetings, trainings, workshops and visits at the regional and state level.
  • Oversee timely and transparent financial transactions and voucher management.
  • Ensure that the Project office systems facilitate transparent and timely processing of payments to sub-contracted services to agencies and individuals.
  • Guide states and district teams in the selection and sub-contracting of vendors for seeking administrative goods and services (e.g. hotel, taxi, stationary, office lease etc.) across the states of Manipur, Mizoram and Nagaland
  • Build capacity of finance and administrative staff of sub-contractors to maintain financial management and accounting systems which are compliant with organisation requirements. This would include managing procurement and administrative processes, maintaining vouchers, and provide inputs to track costs for cost-effectiveness at the sub-grantee level.
  • Monitor sub-contracts related to procurement of administrative goods and services to ensure adherence to budgets, financial systems and timely submission of financial reports / vouchers. Support and accompany Project teams to conduct periodic financial management systems quality audits.
  • Communicate regularly with sub-partners on budgetary, administrative, and financial reporting issues.
  • Assist the Team Lead and other regional staff to resolve the day-to-day issues arising on account of operations and finance

Education Qualification/Required Skills & Experience

  • Bachelor’s Degree with at least 5-6 years of experience in operations management and administration for any public health programs.
  • Previous experience supervising staff and proven high levels of integrity.
  • Computer literacy with excellent written and spoken English language proficiency.
