SECTION 1: BACKGROUND AND OBJECTIVE

Background

Shechen Clinic, Bodhgaya, invites sealed tenders from reputed and registered Generic pharmaceutical suppliers, manufacturers, or authorized distributors for the supply of drugs and medicines. The procurement aims to ensure the uninterrupted availability of quality medicines for patient care at our Clinic.

Objective

Shechen Clinic, Bodhgaya invites sealed quotations  from reputed, registered, and experienced suppliers/manufacturers/authorized distributors for the Supply of Eye Lenses. The objective is to ensure uninterrupted availability of quality ophthalmic lenses for patient care in OPD and outreach programs.

SECTION 2: SCOPE OF WORK

The selected bidder will be responsible for:

1. Supply of Drugs & Medicines - As per the list of required pharmaceutical products provided in the quotation document. Drug list attached as Annexure I
2. Timely Delivery - Ensuring prompt and scheduled supply to Shechen Clinic, Bodhgaya.
3. Quality Assurance - Supplying only standard, certified, and non-expired medicines from approved manufacturers.
4. Regulatory Compliance - Adhering to all relevant government norms, including GMP, WHO-GMP, and Drug Control regulations.

Eligibility Criteria

1. The bidder must be a licensed and registered entity dealing in pharmaceuticals.
2. The bidder must have a minimum of 1 to 2 years of experience in supplying medicines to hospitals, clinics, or government institutions.
3. The bidder must not have been blacklisted by any government or private institution.
4. The bidder should have a valid GST registration and a drug license.

Important Terms:

• All medicines must have a minimum shelf life of 12 months at the time of supply.
• Samples may be requested during evaluation.
• Final selection will be based on quality, rate, and service terms.
• Shechen Clinic reserves the right to accept or reject any tender without assigning any reason.
• All medicines will be required for a period of one year however, the supply order will be issued to the vendor on a monthly basis. The vendor must supply only the quantity of medicines monthly order form for that month.
• All quoted medicine prices shall remain firm and unchanged for a period of one year from the date of Tender

Payment Terms:

• Payment will be made once a month, no later than the 10th of the following month.
• If the Trust Secretary/ Country Director, or cheque signatory is out of station for any reason, the payment may be delayed.

• Envelope/Email  should clearly mention RFQ name and bidder's name and address
• Late submissions will not be accepted under any circumstances

The Clinic reserves the right to:

• Reject any or all quotations without assigning any reason
• Negotiate prices with the lowest bidder

SECTION 4: TERMS AND CONDITIONS

• Initial contract period: One (1) year from the date of agreement
• Renewable annually based on satisfactory performance and mutual consent
• Either party may terminate with 30 days' written notice

• This RFQ and subsequent contract cannot be amended verbally
• Any amendments must be in writing and signed by both parties
