About the Organization:

Room to Read is a global organization transforming the lives of millions of children in low-income communities by focusing on literacy and gender equality in education. Founded in 2000 on the belief that World Change Starts with Educated Children®, our innovative model focuses on deep, systemic transformation within schools during two time periods that are most critical in a child’s schooling: early primary school for literacy acquisition and secondary school for girls’ education. We work in collaboration with local communities, partner organizations, and governments to develop literacy skills and a habit of reading among primary school children and ensure girls can complete secondary school with the skills necessary to negotiate key life decisions.

By focusing on the quality of education provided within the communities and ensuring these outcomes are measured, we have created a model that can be replicated, localized, and sustained by governments. With its global headquarters in San Francisco, Room to Read till date has benefited 32 million children across 21 low-income countries.

Room to Read India was established in 2003 and presently has programs in ten states – Chhattisgarh, Delhi NCR, Jharkhand, Karnataka, Madhya Pradesh, Maharashtra, Rajasthan, Telangana, Uttarakhand, and Uttar Pradesh.

Scope of Work:

The Vendor/Individual will provide the following services:

  1. Job analysis and requirement gathering: Understand the organization needs, culture, and role- specific requirements. Conduct detailed job analysis to identify the skills, qualifications, and experience required for each position.
  2. Searching and headhunting: Explore prospective candidates from the database, other sources, and/or by headhunting to match the skills and qualifications required by the specific job description. To achieve this, the vendor/Individual may be required to undertake labor market analysis, tap networks of professional affiliations, and leverage social media and other non- traditional methods of candidate sourcing.
  3. Initial Screening and shortlisting: Conduct initial screening based on job criteria (e.g., qualifications, experience, skills) and verify the candidate's alignment with the job description and share the most qualified prospective candidates with Room to read for the shortlisting for Panel interviews and selection.
  4. Interview Coordination: Manage all scheduling activities for interviews between candidates and the hiring team, ensuring timely follow-up and communication.
  5. Offer negotiation & documentation support: Assist in salary negotiation with the candidate. Act as a liaison between the client and candidates during offer acceptance and support in documentation.
  6. Replacement: If the candidate placed by the emplaned vendor/individual leaves the organization on his/her own accord within the first 3 months from his/her date of joining, the vendor/individual within the initial fees would suggest an alternative candidate (s) for the position. Room to Read would also have an option of considering the second-best profile from the list of interviewed candidates for the position.

Area of Operations:

The operations will be conducted all over India especially at the functional area of Room to Read India Trust. Presently we are operating in various states of India like, Telangana, Karnataka, Jharkhand, Chhattisgarh, New Delhi, Maharashtra, Rajasthan, Madhya Pradesh, Uttar Pradesh, and Uttarakhand. Room to Read India Trust may plan to add few more states for implementation of its program in future that will also include in the same as and when we communicate it to Vendor.

Evaluation Criteria:

1)  Should have PAN India hiring experience.

2)  Experience of working in the Development Sector.

3)  Experience of hiring Professionals working in the education sector within NGOs.

HOW TO APPLY 

Proposals are invited from the interested agency for the above assignment and the last date for receiving the proposal is 15th December 2024 at procurement.india@roomtoread.org (without copying anyone from RtR)  

  • Kindly submit two separate emails with following subject lines:

  • The agency should apply with the following: 
    • EMAIL (1): TECHNICAL PROPOSAL – Recruitment Services 2025-26
      • A technical proposal should have detailed company profile. 
      • A technical proposal which will outline the way this assignment will be approached.  
      • The proposal should mention the timeline for completing the deliverables. The technical proposal should include an outline of content and your approach for all the abovementioned deliverables.  
    • EMAIL (2): FINANCIAL PROPOSAL - Recruitment Services 2025-26
      • Detailed financial proposal  
      • Copy of registration certificate, GST, PAN Card, MSME Certificate etc. 
  • Read the ToR thoroughly before applying 
  • Pricing should include above requirements 
  • Only Shortlisted agency will be contacted and might be called for a face-to-face interaction with the panel. 
  • Any incomplete application or process deviation, the proposals will automatically be rejected 
  • Proposal received after the prescribed deadline will not be considered.  
  • The TDS will be applicable on the consultancy fee.  
  • Selected agency will be required to sign and abide by the Child Protection Code of Conduct of Room to Read.
