About Organization:

Swargiya Kanhai Shukla Samajik Seva Sansthan, SKSSSS is ISO:37500:2014 certified nonprofit organization. SKSSSS  was established in 2002 as a NGO in memory of the eminent Social Activist Late Shi Kanhai Prasad Shukla. The man was devoted for the cause of the poor communities of the Vaishali district from 1960 to 1978. To further spread his good work for creation of a just and equal society, SKSSSS was registered on 22nd March, 2003 under Society Registration Act 1860 for reducing poverty, inequality and injustice. The organization's registered office is located in Hajipur with Regional Offices in Samastipur and Siwan for efficient and effective programme implementation and service delivery to the women, children, adolescent and    other vulnerable communities.

SKSSSS envision a just and equal society based on human values of unity, equality and fraternity so that no one remains unhealthy, uneducated unemployed and exploited, by promoting sustainable development agenda as liberating force for achieving social justice, economic growth and self-reliance The main mandates to be pursued by the organization are:

  1. To support- care & protection to all women & children violated from various kinds of atrocity & abuse.
  2. To create mass awareness about health, sanitation with STI-RTI, HIV-AIDS
  3. To provide training to various stakeholders, govt. and non-govt. functionaries in order to enhance their efficiency in their field of work.
  4. To support children in educational activities by enrolling in formal schools.
  5. To provide mental health care and support to young children, adolescents and women To organize various types of intervention /programme among the rural people under holistic development approach.
  6. To propagate the significance of plantation & land degradation, organic farming among the mass in order to save the environment.

Job Responsibilities:

  1. A.   Financial Management:
  • Supervise and maintain financial and administrative records and monitoring systems to record and reconcile expenditures, balances, payments, statements and other data for day-to-day transactions and reports
  • Administrative support to the management programme including administration of budgets
  • Support to the project team in Accounting, Administrative and Financial Matters
  • Prepare analytical report on Budget and Expenditure on a regular basis
  • Maintenance of the internal expenditures control system
  • Overall responsible for maintaining the books of accounts for the programme in National/State/s and manage day today transactions.
  • Recording of all transactions in computer-based accounting system (Tally) in accordance with generally accepted accounting practices and ensure proper documentation of all transactions; and maintain files of all supporting documentation for accounting entries.
  • Ensure timely payment of payment requests from vendors, etc. in connection with all programme related activities
  • Overall responsible for the monthly bank reconciliation and advance settlement.
  • Ensure timely deduction of various taxes and timely deposit with the Government authorities
  • Facilitation of information flow, coordination of schedule and other logistic arrangements
  • Lead the preparation and organization of meetings, workshops, outreach activities etc.
  • Prepare detailed cost estimates and participate in budget analysis and projections as required,
  • Supervise the finance assistant and project associate
  • Perform any other duties assigned by the project manager and project lead

 

B.   Grant Management and Donor Compliance:

  • Completing Admin, Organizational, Financial and Declarations sections of EOI/ Application/proposal
  • Review draft proposals and provide comments keeping FCRA, and other regulatory compliances and SEWA Bharat’s policies in view
  • Due Diligence conducted by potential donors
  • Due Diligence for potential partners (Third parties) under various projects
  • Review/ fill-in the documents, as required by the Donor, along with the Agreement
  • Review the Terms & conditions of the donor Agreement
  • Speak to the donor, get clarifications, negotiate for revisions to the clauses in the best interests of the organization
  • Document the revisions, via email, where the revision of the Agreement is not possible
  • Prepare draft agreements where asked by donors and share with them
  • Develop templates, tailor the Agreement template as per the needs of the program
  • Train Project teams in preparation of the agreements and support in finalising
  • Ensure all agreements are compliant with regulatory, donor and SEWA’s policies and procedures
  • Ensure the Agreements are processed/ signed as per the authority delegated
  • Guide the teams in the preparation, finalisation of the amendments/ addendums
  • Be part of the team for No-cost extension requests and explain to the donor the technicalities involved, as needed
  • Review/ prepare the No-cost extension amendments
  • Ensure the documentation is complete in case of Close-out
  • Review and provide feedback on the study/ evaluation reports
  • Document the Delegation of Authority to sign the project documents
  • Signatory in agreements, invoices and reports for specific donors and programs
  • Review and sign the Agreements, periodical reports, declarations to the donors
  • Provide clarifications as needed
  • Review the progress of the implementation
  • Represent SEWA Bharat where necessary
  • Develop systems, Processes, Templates for grant management, as required
  • Provide training and guidance to the staff on new systems
  • Prepare detailed guidelines/ instructions with the new systems/ policies of the respective
    donor
  • Keep track of the changes in the relevant regulatory laws/ restrictions and implement in the systems, policies, as required
  • Registrations on portals/ donors for fundraising
  • Register/renew on the portals as required
  • Support the teams with the Donor initiated audits

Key Skills and Qualifications:

  • Bachelor’s/Master degree in either Accountancy, Commerce, Business Administration, Law. Master’s degree is an advantage
  • At least 10-15 years of experience in handling Grants funded by a diverse set of donors
  • Past experience administering national and international grants strongly preferred
  • In depth knowledge of laws applicable for the development sector including FCRA, IT, CSR, Societies Registration Act etc.
  • Strong understanding of international contracts and cooperative agreements including their relevant terms, conditions and the differences between them
  • An effective and energetic team player, with excellent communication and interpersonal skills, able to work effectively in a multidisciplinary and multi-cultural environment
  • A good command on spoken and written English, Hindi
  • Strong self-motivation and innovative skills
  • Proficiency in using Microsoft Excel, Word

Qualification & Experience:

  • Master in Commerce with at least 4-5 years of experience in the accounting field
  • At least 4 years’ relevant experience in an NGO or health sector. The criteria for selection will be relaxed for members from PLHIV or key population group with relevant experience and caliber and final decision lies with the interview panel
  • Demonstrable proficiency with Tally, Microsoft Word, Excel, PowerPoint, Access and other accounting tools.
  • Demonstrated experience in compliance with statutory and contractual requirements.
  • Demonstrated experience of onward granting in the non-profit sector
  • Strong analytical skills, and the ability to synthesise complex concepts and to communicate them effectively
  • Experience managing finance and administration operations and reporting functions.
  • Ability to work effectively in teams as well as independently
  • Excellent writing and verbal communication skills
  • Ability and willingness to undertake extensive travel; primarily within the State/s
  • Fluent in English and Hindi (other local language)
