Job Description

We are seeking a highly organized and proactive Assistant Manager - Administration to oversee and streamline the day-to-day administrative operations of our organization. The ideal candidate will be responsible for managing facilities, procurement, vendor relationships, and ensuring compliance with legal and organizational standards. This role requires excellent coordination skills and the ability to work collaboratively across departments to align administrative functions with the company’s overall goals.

Job Responsibilities

  • Negotiate and establish contract rates for procurement and service agreements.
  • Identify, evaluate, and onboard vendors to maintain a reliable and efficient supply chain.
  • Manage vendor relationships, monitor performance, and ensure compliance with quality and service standards.
  • Assist the team and management with procurement planning, cost analysis, and contract management.
  • Ensure adherence to government procurement policies, regulations, and procedures, including those outlined in GFR and other relevant frameworks.
  • Handle all procurement-related activities on Government e-Marketplace (GeM), Central Public Procurement Portal (CPPP), including vendor selection, bidding, order processing, and payment coordination.
  • Coordinate with internal departments to assess procurement needs and ensure timely fulfillment of requirements.
  • Support managers in tracking and executing daily administrative and procurement tasks.
  • Oversee administrative operations, including asset management, facilities, logistics, and vendor coordination.
  • Prepare and maintain documentation for audit and compliance related to procurement and administration.
  • Contribute to process improvement initiatives to enhance operational efficiency.

Education Qualification/Required Skills & Experience

  • Any graduate, preferably with an MBA or equivalent.
  • Experience in working with the government sector(preference).
  • Minimum 5 years of experience in operations management and administration within a mid-sized or start-up setup.
  • Strong knowledge of GFR (General Financial Rules), government procurement processes, and bidding procedures.
  • Hands-on experience in procurement through GeM (Government e-Marketplace) & Central Public Procurement Portal (CPPP) is mandatory.
  • Proven experience in contract negotiation and vendor management.
  • Familiarity with e-commerce or digital procurement environments preferred. Knowledge of manpower procurement through Software Development Agencies (SDA’s-Third Party employment) and administrative operations.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint), e-office.
  • Strong organizational, analytical, and project management skills.
  • Excellent communication and interpersonal skills.
  • Formal educational qualifications and experience may be relaxed for exceptional candidates.
