Job Description

We are seeking a dedicated and detail oriented Payroll Associate to join our Human Resources team. The Payroll Associate will manage the end-to-end payroll process of the Institute and ensure an efficient business operations.

Job Responsibilities

Payroll Management

  • Prepare monthly payroll data by ensuring accuracy in employee information, attendance, leave records, new joiners, exits, salary revisions, arrears and deductions.
  • Collaborate with Finance and relevant departments to validate payroll inputs such as promotions, transfers, terminations, and compensation changes.
  • Coordinate with Finance for reconciliation of advances, loans, recoveries, and superannuation contributions; support payroll closure and salary disbursement.
  • Generate and maintain payroll reports.
  • Ensure compliance with statutory and labour regulations.
  • Handle employee queries related to salaries, deductions, advances, loans, and final settlements.
  • Ensure timely issuance of payslips to all staff.
  • Process full and final settlements, including resignation, retirement, and redundancy cases, ensuring accurate calculations and documentation.
  • Maintain confidentiality, data accuracy, and security of all payroll and employee information.
  • Maintain proper records and supporting documents for payroll, audits, and governance requirements.
  • Maintain and update employee records and personnel files in the HR Information System (HRIS).
  • Support internal and external audits by providing required payroll documentation and explanations.

Attendance & Leave Management

  • Monitor daily attendance of all staff in accordance with organizational norms.
  • Maintain and update leave records, including eligibility, usage, and closing balances, along with work-from-home records.
  • Provide TLs/Supervisors with monthly leave and attendance summaries.

Exit Management

  • Ensure smooth and cordial exit processes for departing employees.
  • Ensure all resignations are formally submitted and documented.
  • Coordinate full and final settlement activities with relevant departments.
  • Issue relieving & experience letters, and other separation documents promptly.
  • Coordinate clearance procedures and ensure full & final settlements are processed within agreed timelines.

Education Qualification/Required Skills & Experience

  • Qualification: Bachelor’s degree/ Master’s degree in Business Administration or a related field.
  • Minimum 2-3 years of professional experience in payroll processing.
  • In-depth knowledge of payroll processes, labour laws, taxation and statutory compliance in India.
  • Experience in handling payroll audits, inspections and compliance assessments.
  • Strong attention to detail and accuracy in managing complex payroll calculation data.

Skills:

  • Proficiency with payroll software, HRIS systems and Microsoft Office application.
  • Excellent communication, organizational, and problem-solving skills.
  • Strong attention to detail accuracy and multitasking.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Ability to work independently and as part of a team.
  • Willingness to learn and keep updated with payroll legislation and best practices.
  • Ability to adapt to changing payroll regulations and implement necessary updates.
  • Strong analytical, reconciliation, communication, and coordination skills.
