Scope of Work for Experiential Learning Workshops at CARES Awards 2025
This scope of work covers two experiential learning sessions being conducted as part of the CARES Awards 2025:
- Experiential Workshop on Emotional Intelligence, Gratitude, and Team Well-being
- Interactive Workshop on Collective Purpose, Psychological Safety, and High-Impact Collaboration
About Room to Read
Room to Read India was established in 2003 and presently has programs in eleven states - Andhra Pradesh, Chhattisgarh, Delhi NCR, Jharkhand, Karnataka, Madhya Pradesh, Maharashtra, Rajasthan, Telangana, Uttarakhand, and Uttar Pradesh.
Room to Read is a global organization transforming the lives of millions of children in low-income communities by focusing on literacy and gender equality in education. Founded in 2000 on the belief that World Change Starts with Educated Children®, our innovative model focuses on deep, systemic transformation within schools during two time periods that are most critical in a child’s schooling: early primary school for literacy acquisition and secondary school for girls’ education. We work in collaboration with local communities, partner organizations, and governments to develop literacy skills and a habit of reading among primary school children and ensure girls can complete secondary school with the skills necessary to negotiate key life decisions.
By focusing on the quality of education provided within the communities and ensuring these outcomes are measured, we have created a model that can be replicated, localized, and sustained by governments. With its global headquarters in San Francisco, Room to Read has benefited 32 million children across 21 low-income countries.
As Room to Read celebrates 25 years of impact, the organization is investing in building a more emotionally intelligent, synergized, and connected workforce, aligned with its core values and strategic vision.
Background of the Projects
A. Workshop I: Hearts in Harmony
As part of the CARES Awards 2025 Offsite Retreat, Room to Read India is curating a series of developmental and reflective experiences for its staff. The objective is to foster deeper connections, build emotional resilience, and energize cross-functional collaboration as we enter a new strategic cycle.
One of the key interventions planned is an external, expert-led workshop titled “Hearts in Harmony”, designed to create a safe, engaging, and inspiring space for employees to reconnect with themselves and each other.
B. Workshop II: Unleashing the Power of WE
At the CARES Awards 2025 Offsite Retreat, one of the core themes is collective strength – understanding how we, as individuals and teams, contribute to the larger impact of Room to Read. In this context, the workshop “Unleashing the Power of WE” is curated as a reflective and engaging session designed to explore the dynamics of high-performing teams, cross-functional collaboration, and aligning shared goals with organizational impact.
Position Description and Rationale
A. Workshop I: Hearts in Harmony
We are seeking an experienced facilitator or training organization with demonstrated expertise in emotional intelligence, team synergy, and workplace well-being to conceptualize and deliver an experiential learning session for 3.5 – 4 hours. The facilitator must bring a unique blend of insight, interactivity, and inspiration, aligned with Room to Read’s values and people-first culture.
The rationale behind this workshop is to equip our staff with tools for gratitude, empathy, collaboration, and emotional agility – critical competencies for success in today’s dynamic organizational environment.
B. Workshop II: Unleashing the Power of WE
We are seeking a seasoned facilitator with demonstrated expertise in team development, collaboration frameworks, and culture-building to design and conduct a 3.5–4 hour session for Room to Read India staff.
The rationale behind this session is to tap into the collective wisdom of the team, inspire deeper trust, and promote shared accountability, essential components as we evolve toward our next phase of strategic execution and systems strengthening.
Scope of Work: Objectives
A. Workshop I: Hearts in Harmony
- To enhance emotional intelligence and empathy among participants.
- To strengthen interpersonal trust, collaboration, and psychological safety.
- To build a culture of gratitude, mindfulness, and collective positivity.
- To align individual values with team and organizational purpose.
B. Workshop II: Unleashing the Power of WE
- To build an understanding of the power of collective purpose and psychological safety.
- To promote cross-team empathy and shared ownership.
- To foster an ecosystem of trust, accountability, and support.
- To align personal contributions with team outcomes and organizational strategy.
Key Deliverables of both Workshops
- Conduct a pre-workshop alignment meeting with the People Operations team to finalize the session design, tone, and contextual relevance.
- Design and facilitate a 3.5 to 4-hour experiential learning session, inclusive of:
- Interactive activities and small group exercises
- Self-reflection tools (journaling, storytelling, values-mapping)
- Team gratitude practices and collective affirmations
- Provide all required facilitation materials (PPTs, handouts, etc.).
- Share a short post-session summary outlining key reflections, insights, or observations.
Period of Performance, Level of Effort, and Location
- Both the workshops will be conducted on August 6, 2025, at the Room to Read India Offsite – Jim Corbett National Park.
- The expected duration is approximately 3.5 to 4 hours for each workshop
- The expected number of participants is between 120 and 140.
- Facilitator is expected to arrive well in advance for setup and coordination.
About the Consultants / Facilitators
Workshop I: Hearts in Harmony & Workshop II: Unleashing the Power of WE
The ideal consultant/facilitator should be recognized for their impactful work in the field of people development and team synergy. Experience in the development sector or with values-based organizations will be an added advantage.
Evaluation Criteria:
- Must be available to facilitate the session on August 6, 2025.
- Prior experience in facilitating high-impact learning experiences.
- Familiarity with themes of emotional intelligence, collaboration, and gratitude (workshop I) & collaboration, team effectiveness, and organizational culture (workshop II).
- Testimonials, past client references, or examples of methodologies used in previous workshops are preferred.
- A creative facilitation approach that is non-classroom-based, participatory, and reflective in nature.
- Ability to engage diverse audiences and drive meaningful reflection.

- A comprehensive financial proposal should be provided.
- Copies of essential documents, including the registration certificate, GST, PAN Card, MSME Certificate, and other relevant certifications, must be submitted.
- Carefully review the Scope of work (SoW) before submitting your proposal.
- Pricing should comprehensively cover all the requirements mentioned above.
- Only shortlisted agencies will be contacted and may be invited for a face-to-face interaction with the selection panel.
- Incomplete applications or any deviations from the specified process will lead to automatic disqualification.
- Proposals submitted after the prescribed deadline will not be considered.
- Tax Deducted at Source (TDS) will be applicable on the consultancy fee as per regulations.
- The selected agency/individual will be required to sign and strictly adhere to Room to Read’s Child Protection Code of Conduct.
