RFP FOR THE MANAGEMENT OF LAUNCH EVENT OF "BALVARDHAN" FOR VEDANTA - AAF

Project Balvardhan:

Project Balvardhan is a holistic initiative under the Nand Ghar (NG) project in Rajasthan, designed to enhance Anganwadi services through an integrated service delivery model. This approach ensures the holistic development of children by addressing both nutrition (0-6 years) and early learning outcomes (3-6 years). The project is aligned with key national programs, including ‘Saksham Anganwadi and Poshan 2.0’ and ‘Poshan Bhi Padhai Bhi,’ reinforcing a concerted effort to combat malnutrition and support early childhood education.

About the RFP:

The Nand Ghar program team is seeking an experienced event management agency to coordinate end-to-end logistics for the launch of Project Balvardhan on April 7th in Dholpur district, Rajasthan. This half-day event will host 300+ attendees, including high-level government officials (Secretary WCD, Director WCD, District Collector, MPs/MLAs), institutional stakeholders, local leaders, media, frontline workers, and program beneficiaries. The objective is to generate momentum and secure participation in strengthening the Nand Ghar movement across Rajasthan.

Following is the major activities :

Pre-Event

Venue assessment, stage & seating setup, sound, lighting, and power backup
Production of event collaterals (backdrops, banners, signage, photobooth)
Procurement of welcome kits (300), VIP gifts, and distribution materials
Arrangements for transportation, guest logistics, and pre-event rehearsals

Event Day

On-site management with 10-15 coordinators and 1 professional emcee
Catering & hospitality for 350 attendees
Live-streaming, documentation, photography, and videography

Post-Event

Networking dinner with key stakeholders
Venue cleanup and handover
Submission of event report with attendance metrics, media assets, and testimonials
