1. Purpose

AROH Foundation invites proposals from experienced and eligible agencies/vendors for development and installation of Smart Classrooms (3 Nos) in selected schools in Mon, Nagaland.

2. Scope of Work

The selected vendor shall provide a complete, functional Smart Classroom, including:

• Supply & installation of Smart TV (minimum 65" or as per approved BOQ), wall mounting and necessary accessories.
• Classroom renovation, including painting, minor civil repair, flooring/ceiling repair, wherever required.
• Electrical work, including wiring, switches, sockets, lighting and required connections.
• Seating arrangement, including student desks/benches/chairs and teacher's table/chair.
• Transportation, installation, testing and commissioning.
• Final cleaning and handover of the completed classroom.

3. Vendor Eligibility

The vendor should:

• Be a registered firm/company/proprietorship/agency.
• Have relevant experience in Smart Classroom, school infrastructure, civil renovation and/or electrical works.
• Have adequate technical and financial capacity to complete the assignment.
• Not be blacklisted/debarred by any government/CSR organisation.
• Comply with all applicable statutory, safety and tax requirements.

4. Documents Required

• Registration certificate
• PAN & GST
• Udyam/MSME, if applicable
• Organisation profile
• Details of similar work/orders/completion certificates
• Client references, if available
• Detailed technical and financial quotation
• Vendor declaration on integrity, ethics, conflict of interest and related-party relationship

5. Quotation

The quotation should be item-wise as per BOQ, clearly mentioning:

(As per the scope of work – Annexure I)

Transportation, installation and all applicable charges should be clearly indicated.

6. Selection

AROH Foundation will evaluate vendors based on:

• Technical capability
• Relevant experience
• Quality
• Financial quotation
• Warranty/after-sales support
• Overall value for money

Selection will not necessarily be based solely on the lowest quotation.

7. Completion & Payment

The work shall be completed within the agreed timeline mentioned in the Purchase/Work Order.

Payment will be released against satisfactory completion, verification, commissioning and submission of proper invoices/supporting documents, subject to applicable deductions.

8. Key Conditions

• All materials/equipment must be new and of approved quality.
• Any deviation from approved BOQ/specifications requires prior written approval from AROH Foundation.
• Vendor shall provide applicable warranty for Smart TV/electrical/equipment supplied.
• AROH Foundation reserves the right to accept/reject any proposal and conduct vendor due diligence before award.

Detailed Scope of Work

The selected agency/vendor shall undertake all activities necessary for successful completion of the Smart Classroom.

A. Classroom Renovation

The renovation work may include, but shall not be limited to:

1. Repairing of walls, ceiling and flooring wherever required.
2. Internal painting and appropriate classroom colour scheme.
3. Wall preparation, putty and primer wherever necessary.
4. Repair/replacement of damaged doors and windows, wherever required.
5. Minor civil repair works.
6. Installation/repair of electrical points.
7. Improvement of classroom lighting.
8. Provision of fans/electrical fixtures wherever required.
9. Cleaning and disposal of construction debris.
10. Any other minor renovation work required to make the classroom ready for use.

The exact renovation requirements shall be assessed through a site survey before finalisation of the BOQ.

B. Smart TV / Digital Display

The agency shall supply and install suitable Smart TVs/digital displays for each identified classroom.

The Smart TV shall preferably include:

• Minimum 65-inch SMART LED Panel (LG/Samsung) or as specified in the approved BOQ.

The final technical specifications shall be as per the approved BOQ/specifications.

C. Electrical & Installation Works

The vendor shall undertake complete electrical arrangements required for the Smart Classroom, including:

• Electrical wiring and conduits including 2 Ceiling Fans (Havells/Crompton) and 2 Tube Lights.
• Testing of all electrical connections.

All electrical work shall comply with applicable safety standards and local requirements.

D. Seating & Furniture Arrangement

The vendor shall supply and arrange appropriate classroom furniture/seating, which may include:

• Student desks and benches/chairs – 2 seater – 30 students
• Teacher's table and chair – one each

Furniture shall be durable, safe, child-friendly and suitable for regular school use.

E. Licenced Content

Licenced Content K-12 as per the State Board.

F. Installation, Testing & Commissioning

The agency shall be responsible for:

1. Transportation of all materials to the school.
2. Unloading and safe storage.
3. Installation and assembly.
4. Testing of all equipment.
5. Demonstration to school representatives.
6. Rectification of defects identified during inspection.
7. Final cleaning of the classroom.
8. Handover of the completed Smart Classroom.

Site Survey

Before submission/finalisation of the BOQ, the selected agency may be required to undertake a physical site survey of the identified schools.

The agency shall assess:

• Classroom dimensions
• Existing civil infrastructure
• Electrical condition
• Existing furniture
• Number of students
• Existing power availability
• Smart TV mounting requirements
• Renovation requirements
• Seating requirements
• Any other site-specific requirement

The final BOQ shall be prepared based on actual site conditions and approved by AROH Foundation.
