Bids are invited for: Supply for STEM Tinkering Material in Tamil Nadu

Please note that The American India Foundation Trust (AIFT) reserves the right to modify this schedule as needed. All prospective bidders who have confirmed interest by the due date as above, will be notified of any changes simultaneously by email. This bid is open for OEMs (Original Equipment Manufacturer) and non-OEMs including Brand Owners, authorized dealers, suppliers, traders and resellers with relevant experience.

Scope of work:

Supplying of STEM Tinkering Material in Tamil Nadu On Purchase order basis, mainly in Chennai as per specifications and mandates listed at Annexure-I.2 of the RFP as per below terms.

• Quantity of Supply: The tentative requirement is 45 sets, to be delivered to 45 different locations across Tamil Nadu. The quoted price must be inclusive of all applicable GST, packing, forwarding, transportation, and doorstep delivery charges. AIFT reserves the right to increase or decrease the quantity of items and locations based on project requirements, without any obligation to procure the estimated quantity.
• Warranty: 3-months replacement warranty on mandatory items.
• Payment Terms: 50% advance & 30% within 10 days on submission of delivery proofs, Tax Invoices, E-way Bill/PODs as applicable and Remaining 20% within 25 days. TDS as applicable.
• Delivery Timeline: 15 Days from Receipt of Advance; For any damaged product delivered, the Agency will provide the free of cost replacement, and to be replaced by the supplier within 10 working days of notification
• Validity of Bids: Prices quoted in Bid shall remain valid for 3 Months to accommodate any additional requirement in Tamil Nadu on Purchase Order Basis.
• Jurisdiction: For any disputes the Jurisdiction will be New Delhi.
• Total Business under this RFP shall not exceed 1 crore.
• Bids uploaded on the google form link must be Password protected.

Proposal Requirements:

The technical proposal should cover at least below areas:

A.    Applicant eligibility requirement(s):

1. The bidder organization should be registered as a legal entity for carrying business in India. In addition, the  bidder shall have all kinds of necessary licenses and permission for work related requirements.
2. The bidder must preferably have previous relevant experience in the area of the requirement/supply.
3. This bidder must be an OEM (Original Equipment Manufacturer) or non-OEM including Brand Owners, authorized dealers, suppliers, traders and resellers with relevant experience.

B.    Technical Requirements:

The bidder should provide information on overall qualifications, including:

1. Profile of organization
2. Past experience, clients handled and completed assignments in the same field.
   1. Only for-profit entities can apply. Nonprofit entities (NGO) are not eligible to apply under this bid.

C.    Attachments/ Enclosures for Technical Bid:

Bid must be submitted in English language only and should contain the following:

1. Covering letter with reference to all enclosures or attachments.
2. Copy of registration documents/ certificate and most recent renewal as a legal entity.
3. License or permission if any for doing business
4. Copy of Authorized dealership issued by the company (if any)
5. Copy of valid PAN
6. Copy of valid GST Registration.
7. Copy of MSME registration certificate (if registered)
8. Copies of last 3 (three) years of ITR.
9. All other documents as mentioned in this RFP document.

Cover letter (Annexure I), General Information (Annexure I.1), Technical Bid (Annexure I.2)

It is to be submitted separately as per Annexure II. No conditional price is to be quoted.
