Started in 2002 by a group of young corporate professionals, today Smile has evolved into a national level development organization impacting lives of over 1.5 million underprivileged children and their families with project presence in 25 states across India,10 offices in strategic locations and over 650 employees, besides countless volunteers, well- wishers and supporters.

The organization also holds Special Consultative Status with United Nation’s Economic & Social Council (ECOSOC), accredited with global organizations like GuideStar, United Way, CAF America, Give2Asia and many more. Currently SF has been implementing projects worth Rs 80 Crore across India directly or with the help of grassroot organizations, primarily CSR funded projects of varied scale both in urban slumsand rural areas including aspirational districts in thematic areas mentioned above. The wealth of knowledge emanated from the same is immense, however the same is grouped in systematic manner which can be used for pitching for large projects of long term in nature leading to data driven knowledge products which can be further used in creating large scale impact.

Job Description

The Executive HR ) will be responsible for managing the Human Resources Management Information System (HRMIS) and providing accurate and timely data and reports to support HR decision-making processes. The role involves ensuring data integrity, generating reports, and collaborating with various departments to enhance HR processes and efficiency.

Job Responsibilities

  • Manage the day-to-day operations of the HR Management Information System.
  • Ensure accurate and up-to-date employee data entry, maintenance, and confidentiality.
  • Generate regular and ad-hoc reports for HR and management, providing insights and trends.
  • Manage the digitization and storage of HR documents within the HRMS.
  • Ensure accurate and timely filing of employee records, including contracts, performance evaluations, and other relevant documents.
  • Implement document naming conventions and organizational structures to facilitate easy retrieval.
  • Coordinate with the HR team during the onboarding process to collect and input necessary documentation into the HRMS.
  • Streamline data collection and reporting processes to improve efficiency and reduce errors.
  • Conduct regular audits of HR documents to ensure accuracy, completeness, and adherence to organizational standards.
  • Collaborate with internal audit teams to facilitate comprehensive reviews of HR documentation for compliance purposes.
  • To support the team in developing reports and presentations, Data analysis.
  • Establish and maintain version control for critical HR documents, tracking revisions and updates and ensure that the most current versions of documents are readily accessible to authorized personnel.
  • Provide regular updates to HR Head on the completeness and accuracy of employee documentation.
  • Other responsibilities as assigned by reporting manager.

Education Qualification/Required Skills & Experience

  • Should possess a graduate or post graduate degree in any stream.
  • Atleast 1- 2 years of experience in a similar role of handling MIS platforms, collecting, organizing, protecting and storing of data.
  • Excellent analytical skills for data analysis and reporting.
  • Proficient in Microsoft Office, especially working with Microsoft Excel and database management.
  • Excellent verbal and Written Communication (Both English and Hindi)
  • Ability to work with different stakeholders
