Job Description/Responsibilities
Sangath is seeking to recruit a Senior Officer HR & Admin for the NAMASTE project. Will be responsible for overseeing human resources, general administration, Travel arrangement, Office event/meeting arrangement and procurement functions, ensuring efficient operations, compliance with policies, vendor management, and fostering a collaborative work environment, while also contributing to the development of administrative systems and facilitating office events.
Human Resource:
- Oversee all aspects of human resources within NAMASTE, including advertising job vacancies, scheduling interviews, documenting the recruitment process, notifying candidates at various stages, and managing the issuance and signing of contracts to ensure contractual compliance.
- Coordinate the onboarding and orientation process for new project team members, ensuring a seamless transition into their respective roles.
- Ensure that project-related HR practices, policies, and procedures align with the organization's policies and comply with legal and regulatory requirements, including any specific guidelines mandated by project funders.
- Conduct annual performance appraisals for staff members.
- Address and facilitate the resolution of grievances and concerns raised by project team members.
- Maintain accurate and up-to-date HR records, including attendance, leave, and other relevant data, for reliable documentation purposes.
- Generate HR metric reports for the Project Director, Principal Investigator, and project funders.
- 8. Manage the offboarding process for project team members upon project completion or departure.
- Disseminate timely updates, policies, and procedures related to HR matters to project team members, ensuring everyone is well-informed.
General Administration:
- Collaborate with national and international teams involved in the program.
- Coordinate with Sangath's central administration and finance teams as needed.
- Manage and maintain project/organizational assets.
- Coordinate the approval process with relevant internal and external authorization bodies.
- Arrange travel and accommodation bookings.
- Assist the Principal Investigator (PI) with her day-to-day calendar management and her travel-related work.
- Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.
Procurement:
- Handle procurement for office supplies, services, equipment, and other program needs.
- Identify and engage with reliable suppliers and vendors following Sangath's procurement policies.
- Negotiate with suppliers and vendors to secure favorable terms.
- Review existing contracts with suppliers and vendors to ensure their ongoing feasibility.
- Cultivate and maintain long-term relationships with vendors and suppliers.
- Authorize purchase orders and coordinate the delivery of goods and services.
- Manage procurement within the program budget while promoting cost-saving practices.
Education Qualification/Required Skills & Experience
Essential:
Essential:
- Graduate/MBA/Masters/Post Graduate in Human Resources, Finance, or Administrative Management.
- Experience of a minimum of 2 to 4 years.
- Commitment of a minimum of 3 years.
- Fluency in English and Hindi oral and written communication.
- Proficient in using digital tools (Mobile phones, laptops, and audio/video recorders, etc.).
- Proficient in MS Office with excellent MS Excel & MS Powerpoint knowledge, internet, outlook, and email.
- Excellent interpersonal and organizational skills.
Desirable:
- Experience of a minimum of 1 year in a senior administrative/HR position.
- Experience working in an NGO or public health sector.
- Willingness to travel to field sites within the country.
