Job Description

The Project Manager will be responsible for planning and coordinating activities related to the Impact Report and the Advisory Boards, ensuring they are delivered within budget, on time and to an excellent standard.  The role involves coordinating with a range of internal and external stakeholders and ensuring that project outcomes align with the Institute's strategic objectives.

For the Impact Report, this will include working with external stakeholders including a content creation platform, freelance writer and video production company, and internal stakeholders from the communications, philanthropy, research services and data strategy teams. The Project Manager will work to a timeline for the creation of different elements of the report, including impact stories, lived experience case studies and publication impact metrics, and will work with other stakeholders to ensure all elements are delivered in a coordinated and timely manner and contribute to a high-quality, compelling final output that meets project objectives.

For the Advisory Boards, the role will involve working with the Global Director, Impact & Engagement to plan and ensure delivery of supporting materials ahead of each meeting; coordinating with Board members to ensure strong attendance and engagement; producing minutes, action points and other materials after each meeting as required; and leading on the administrative aspects of the project. The role will also involve capturing learning from the process of establishing the first Advisory Board, developing metrics to report on its impact, and planning for the second Advisory Board, including the identification of potential members.

Job Responsibilities

Project Planning and Management:

  • Develop/implement comprehensive project plans for the Impact Report and Advisory Boards, outlining scope, timeline and resources needed.
  • Create detailed work plans and schedules to track project milestones and deliverables.
  • Monitor and track budget allocated to the projects.

Stakeholder Engagement:

  • Coordinate stakeholders for both projects, ensuring effective, regular communication and expectation management.
  • Foster relationships with stakeholders and keep them informed of project progress and new developments.
  • Facilitate collaboration across internal and external stakeholders as appropriate.

Risk Management:

  • Identify potential project risks and develop mitigation strategies.
  • Monitor project risks and implement corrective actions as necessary.

Quality Assurance:

  • Establish and maintain quality standards for project deliverables.
  • Conduct regular reviews to ensure project outputs meet required quality benchmarks.

Reporting and Documentation:

  • Prepare and present regular project status reports to stakeholders including the internal advisory groups supporting each project.
  • Maintain comprehensive project documentation, including project plans, reports, and post-project evaluations.
  • Capture and share learning from each project with relevant stakeholders, including areas for improvement, and develop metrics to report on impact.

  • Work with colleagues in the global Impact & Engagement team to identify opportunities for collaboration across regions and amplification of activities at the global level.
  • Participate in special projects to improve processes, tools, systems and organisation.

Education Qualification/Required Skills & Experience

  • Relevant experience of project management, including experience of managing multiple projects simultaneously.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to work effectively and build relationships within a multidisciplinary team, including across regions and time zones.
  • Ability to convey complex information clearly to diverse audiences.
  • Strong problem-solving skills and attention to detail.
  • Excellent coordination, organisational and time management skills, including meeting management and protocols.
  • Ability to prioritize tasks effectively, work under pressure and meet tight deadlines.
  • Ability to be flexible and adaptable in the face of changing organisational priorities and ambiguous environment.
