SECTION 1: BACKGROUND AND OBJECTIVE

Background

Shechen Clinic, Bodhgaya invites sealed quotations from reputed and registered generic pharmaceutical suppliers, manufacturers, or authorized distributors for the supply of medicines under its Mental Health Program. The procurement process aims to ensure uninterrupted availability of safe, effective, and quality-assured medicines for patient care at the Clinic and associated outreach services.

Objective

The objective of this RFQ is to empanel reliable and experienced suppliers/manufacturers/authorized distributors for the timely supply of mental health medicines, in compliance with applicable regulatory and quality standards, to support continuous and effective mental health services at Shechen Clinic, Bodhgaya.

SECTION 2: SCOPE OF WORK

The selected bidder shall be responsible for the following:

  1. Supply of Medicines
    Supply of mental health medicines as per the approved list of pharmaceutical products provided in the RFQ document (Annexure I).
  2. Timely Delivery
    Ensuring prompt and scheduled delivery of medicines to Shechen Clinic, Bodhgaya, as per agreed timelines.
  3. Quality Assurance
    Supplying only standard, certified, and non-expired medicines manufactured by approved and licensed manufacturers, with adequate remaining shelf life.
  4. Regulatory Compliance
    Full compliance with applicable government rules and regulations, including but not limited to:
  • Drug and Cosmetics Act & Rules
  • GMP / WHO-GMP standards

SECTION 3: ELIGIBILITY CRITERIA

  1. The bidder must be a duly licensed and registered entity engaged in the supply of pharmaceutical products.
  2. The bidder must have a minimum of 1 - 2 years of experience in supplying medicines to hospitals, clinics, or government institutions.
  3. The bidder must not have been blacklisted or debarred by any government authority or private organization.
  4. The bidder must possess a valid GST registration and a valid Drug License at the time of submission of the quotation.

SECTION 4: IMPORTANT TERMS & CONDITIONS

  1. All medicines supplied must have a minimum remaining shelf life of 12 months at the time of delivery.
  2. Shechen Clinic may request samples of quoted medicines during the technical or financial evaluation process.
  3. Final selection of the vendor shall be based on quality standards, quoted rates, reliability of supply, and service terms.
  4. Shechen Clinic, Bodhgaya reserves the right to accept or reject any or all quotations without assigning any reason thereof.
  5. The procurement shall be valid for a period of one (1) year. However, purchase orders will be issued on a monthly basis, and the selected vendor shall supply only the quantities specified in the respective monthly purchase orders.
  6. All prices quoted shall remain firm and unchanged for a period of one year from the date of finalization of the tender.
