Job Description
We are seeking a highly organized and resourceful Executive Assistant who is passionate about books and research, and eager to contribute to a vibrant literary space. The candidate will support the Foundation's daily operations, manage administrative tasks, and play a key role in expanding our visibility on digital platforms. The chosen candidate will be required to join immediately.
Job Responsibilities
- Calendar Management: Schedule and coordinate meetings, events, and appointments forthe teamand fellows.
- Inventory Management: Maintain accurate records and tracking ofthe Foundation's book inventory and resources.
- Research Support: Conduct background research, gather information for projects, and assist in document preparation.
- Social Media & Digital Outreach: Develop and execute content strategies for social media platforms (LinkedIn, X, Instagram, Facebook,etc.).
- Write engaging newsletters and updates highlighting the Foundation's work and events.
- Generate creative ideas to increase visibility and audience engagement.
- Handle regular posting
- General Administration and Communication: Multitaskefficiently acrossdifferent domains (logistics, communications,planning).
- Ensure smooth functioning of daily operations and timely completion of assigned tasks.
- Handle day-to-day queries sent to the organisation's email account with professionalism andpromptness.
- Send reminder emails to other departments (such as accounts and website manager) regarding updates and release of payments.
Education Qualification/Required Skills & Experience
- Experience: 2-3 years as an executive assistant, preferably in non-profit, literary, or research focused organizations.
- Genuine interest in books, literary culture, and Indian history.
- Exceptional organizational and multitasking abilities.
- Proficiency in calendar and inventory management (Google Workspace, MS Office, etc.).
- Strong research,writing, and communication skills.
- Experience in creating digital content and managing social media handles.
- Ability towrite newsletters, blog posts,and social updates,with creativity and clarity.
- Proactive in sending reminder emails to relevant departments about internal updates and timelypayments.
- Self-motivated, proactive, and capable of working independently.
