ABOUT THE POSITION:
The Associate - Human Resources will support the day-to-day HR operations by assisting in recruitment coordination, employee onboarding, HR documentation, data management, employee records maintenance, and employee lifecycle processes. The role will ensure timely execution of HR activities, maintain accurate HR information and records, and provide operational support to facilitate smooth functioning of the HR department.
Key Responsibilities: Below are the responsibilities but not limited to:
Recruitment
- To maintain a database of budgeted positions viz-a-viz current status, number of vacant positions and work towards providing suitable manpower for vacant positions.
- To assist the Manager HR about the new positions, contribute actively in planning the recruitment cycle of such new requirements and implement them.
- Acting as the first point of contact for anyone enquiring about a vacancy.
- To prepare offer letters; contract letters for the selecting candidates.
On boarding and Induction:
- Responsible for processing the joining formalities of new employees/ consultants.
- Responsible to plan and ensure systematic induction of the new employees.
- To ensure the induction plan is signed off and filed in the personnel file of all new joiners.
Data & Contract management
- To maintain the complete database of all employees in specified excel sheet/ MIS and update them timely with any changes
- To maintain the HR records such as employee personnel files.
- To maintain and update the consultant’s database with the duration of their projects.
- To process confirmation letters of the employees completing probation period.
- To ensure that contract renewals are done in a timely manner
Employee Relieving
- Responsible for processing relieving formalities and ensure final settlement is done.
- To assist the Manager HR for exit interviews in specified formats.
Others
- Coordinate HR activities (meetings, staff meetings and celebrations etc.)
- Responsible for endorsements for health & personal accident insurance for employees.
- To address MIS issues of employees
- Assist with day-to-day operations of the HR functions and duties.
- Any other tasks assigned by line manager
Qualification, Experience & Skills:
- Bachelor’s Degree in Human Resources, Business Administration, or a related field. MBA/PGDM in HR will be an added advantage.
- 0–3 years of experience in HR operations, recruitment coordination, HRMIS, or related HR functions.
- Basic understanding of HR processes, employee lifecycle management, and HR documentation.
- Familiarity with handling employee data, MIS reports, and maintaining records in Excel or HR systems.
- Exposure to working in dynamic and fast-paced work environments; experience in the development/social sector will be an added advantage.
- Ability to coordinate and work collaboratively with different teams and stakeholders.
- Experience in managing detailed information and maintaining accuracy in documentation and reporting.
Skills & Competency
- Good data handling and record management skills.
- Strong attention to detail and accuracy in work.
- Proficiency in MS Office applications, especially MS Excel and PowerPoint.
- Good written and verbal communication skills in English.
- Effective coordination, interpersonal, and listening skills.
- Positive attitude with willingness to learn and take initiative.
- Ability to manage multiple tasks and meet timelines effectively.
- Demonstrates professionalism, integrity, and ethical work practices.
OTHERS:
Salary shall be commensurate with experience.
