Job Description
PxD is seeking a proactive, highly organized Executive Assistant to join the Operations team and provide dedicated administrative support to senior leadership. This role is perfect for someone who thrives in a fast-paced environment, takes ownership of complex workflows, and operates with discretion and professionalism. As a trusted partner to senior leadership, the Executive Assistant will help ensure smooth day-to-day operations and enable leaders to focus on strategic priorities.
Job Responsibilities
- Diary and calendar management: Proactively manage an Executive Director’s calendar across multiple time zones, prioritising meetings and ensuring effective use of time.
- Travel coordination and logistics: Arrange domestic and international travel, including flights, accommodation, visas, and detailed itineraries.
- Travel tracking and documentation: Maintain accurate travel logs, schedules, and related documentation for internal and compliance purposes.
- Executive support: Provide day-to-day administrative and coordination support, including preparation for meetings, follow-ups, and light document handling.
- Liaison and coordination: Act as a point of contact with internal teams, board directors, and external stakeholders, ensuring clear, timely communication.
- Collaboration with HR Operations: Work closely with and as part of the HR Operations group to ensure alignment across organizational support functions.
- Other administrative tasks: May be assigned additional administrative support duties as needed.
Education Qualification/Required Skills & Experience
- Excellent organisational skills and attention to detail.
- Strong written and verbal communication skills in English.
- High levels of discretion, reliability, and sound judgment.
- Comfortable working across time zones and adapting to changing priorities.
- Proactive and anticipatory: Can foresee the senior leadership team’s needs and act without being prompted.
- Time and task management: Ability to juggle multiple priorities, deadlines, and competing requests efficiently.
- Tech-savvy: Comfortable with digital tools for calendar management, travel booking, document preparation, and communication.
- Problem-solving and resourcefulness: Can troubleshoot issues and find practical solutions quickly.
- Interpersonal skills: Builds strong relationships across teams, boards, and external stakeholders.
- Professionalism under pressure: Maintains composure and confidentiality in sensitive or high-stakes situations.
- Adaptability and flexibility: Comfortable handling changing priorities and shifting schedules with minimal disruption.
- Attention to protocol and etiquette: Maintains professional standards in all interactions, internally and externally.
