Job Description

CPI is seeking a well-organized and motivated Junior Operations Associate to support the day-to-day functioning of the India office. Reporting to the Manager – Operations, this role supports office administration, operational processes, systems coordination, vendor management, and administrative assistance to the India Director. The role involves working closely with global Operations, Finance, and IT teams to ensure smooth internal operations.

Job Responsibilities

Office & Facilities Management

  • Oversee daily office operations including supplies, facilities, and basic IT coordination.
  • Serve as the primary contact for office queries and liaise with building management and vendors.
  • Handle office-related invoices such as rent, utilities, insurance, benefits, legal, and vendor payments.
  • Support office improvement projects and audits as needed

Administrative & Executive Support

  • Lead month-end close activities including timesheet completion, expense submissions, and invoice processing for the India office.
  • Provide administrative and scheduling support to the India Director including calendar management, travel coordination, expense reporting, and documentation.
  • Maintain and update the vendor/supplier database, office subscriptions, and contact lists.
  • Assist in planning and coordinating meetings, workshops, offsites, and team events.
  • Draft and circulate internal communications, building notices, memos, and monthly meeting minutes.
  • Provide administrative support to Global Operations leads when required

Systems & Process Management

  • Manage team-wide system reminders (timesheets, allocations) and support staff with CPI tools systems.
  • Review and upload consultant invoices and travel reconciliations
  • Coordinate tool account creation and email ID setup for new hires.
  • Support onboarding process for new hires in India office, including basic orientation and guidance on CPI tools & processes.
  • Maintain the annual office closure calendar.

Vendor & Contract Management

  • Draft contracts and addendums in alignment with CPI policies.
  • Track vendor compliance, documentation, and contract deliverables.
  • Coordinate weekly vendor and consultant payment updates with Finance (CashPro).

Travel & Logistics Support

  • Coordinate travel arrangements for staff and guests, including visa letters and basic support through the travel portal when required.
  • Provide logistical support for internal meetings, team events and board related engagements as required.

Operational Support

  • Support KYC, bank documentation.
  • Coordinate with insurance, payroll, and central IT teams as needed.
  • Provide general operational support across teams.

Education Qualification/Required Skills & Experience

  • Post Graduate degree in Business Administration/ Management Studies/ Finance/ Social Sciences and demonstrable (minimum of 3 yrs and upto 5 yrs) post-qualification experience in the field
  • Familiarity with financial or operational tools systems (eg : Netsuite, SharePoint) and project management skills.
  • Professional experience in financial services, management consulting/advisory/research, international non-profit, government, and/or a multi-lateral institution.
  • Independent, analytical mind with an excellent track record of applying sound financial judgment to complex issues.
  • An ability to work under pressure and tight deadlines.
  • Outstanding written and verbal communication skills, including fluency in English
  • High attention to detail and strong organizational ability to be highly organised.
  • Flexibility, professionalism, enthusiasm for working as part of a team, and ability to interact with diverse people.
