About the Organization

India Health Action Trust was instituted in 2003 as a Charitable Trust with a vision to meaningfully impact the lives of vulnerable and marginalised people by addressing health and social inequities. The Trust is working towards reducing inequities by developing comprehensive and sustainable programmes to improve population health. Since its inception, IHAT has working closely with the Government of India and state governments, including Uttar Pradesh, Madhya Pradesh, Rajasthan, Delhi and Bihar to achieve public health goals. Our work is focused in areas of prevention and control of HIV and Tuberculosis, in achieving significant improvements in Reproductive, Maternal, Neonatal and Child Health, improved Nutrition among mothers and children, and strengthening health systems. We use program science to optimise and scale public health programs while partnering with the governments and communities.

Job Description

The State Associate – Administration will be instrumental in managing the administrative, financial, and human resources operations at the state level in Bihar, ensuring alignment with the organization’s standards and policies. This role involves comprehensive office management, logistical support for state activities, coordination with Admin, Finance, and HR teams in IHAT Lucknow office, and maintaining rigorous budgeting, accounting, asset management, and financial reporting practices. The State Associate will facilitate office requirements, seamlessly integrate operations across Admin, Finance, and HR departments.

Job Responsibilities

Technical:

  • Travel & Logistics Arrangements – Tickets Booking, Local Travel Arrangements etc.
  • Organizing meetings, trainings, conferences and any other events, assets management.
  • Stationary Management / Supervision of housekeeping activities / Dispatch of couriers, letters etc.
  • Giving admin assistance to all staff whenever required.
  • Day to day office management and admin activities.
  • Travel up to 30% of the time.
  • Maintenance of Vendor Database.
  • Ensuring NOC from Vendors on monthly/quarterly basis.
  • Maintenance of local contracts and renewals with Hotels and other vendors.
  • Managing the procurement of daily needs and other asper requirements and issuance of Job/Work Orders per IHAT policy.
  • Entering Assets into Registers and ensuring that at any point of time, stock per records and physical stock always match. Also, liaise with Finance to ensure that all assets have been duly depreciated and recorded in the Stock Register in WDV.
  • Assist in Annual Physical Verification of Stock
  • Bills processing of utility, rent, vendor, vehicle etc.
  • Any other work entrusted by Project Head.
  • Monitor & Settle advances of Staff / Vendor.
  • Provide support to team in respect to budgets and procurement.
  • Periodic fund requests for the division.
  • Stakeholder management.

Miscellaneous

  • Any other tasks assigned by the line manager or organization from time to time
  • The Job Role may be changed from time to time as per organization’s requirements

Education Qualification/Required Skills & Experience

  • Bachelors or any other relevant degree is required.
